SPD Logo Official Competition Rules


  1. Agreement to be Bound by Official Competition Rules. Each person who submits an entry in the Competition becomes an "Entrant," and agrees that, by the submission of such entry, these Official Competition Rules are binding upon such person.

  2. Eligibility to Enter the Competition; Number of Entries Allowed. An Entrant may submit as many entries to the Competition as he or she wishes. An "Entrant" includes individuals, partnerships, joint ventures, trusts, corporations and any other form of entity that is capable of performing a legal act.

  3. Honorarium. The winning Entrant will be awarded an honorarium of $500 U.S. dollars in the form of a money order or cashiers check. The Solar Physics Division of the American Astronomical Society (SPD) will announce the name (with permission), country of origin and other relevant information about the winner(s) on the SPD Internet site and elsewhere. If elements of two or more entries are determined by the SPD to be appropriate to be combined into the final logo design, several winners are possible. In the event of multiple winners, the honorarium will be split evenly between or among them. No assignment, transfer or substitution of an honorarium is permitted. Taxes are the sole responsibility of the winner(s).

  4. Runners-up. The Solar Physics Division may select one or more entries as runners-up in the Competition. If it does so, it will announce the names (with permission), countries of origin and other relevant information about the runners-up and their submitted logos at the time the winner is also announced.

  5. Void Where Prohibited by Law, No Purchase Necessary, No Fees to Participate. Should this Competition be prohibited by law in any jurisdiction in the world, then the Competition shall not be open in such jurisdiction. No purchase is necessary to enter the Competition. There are no entry or submission fees to participation in the Competition.

  6. Criteria for Selection of Winning Entries. The winner(s) and the runners-up will be selected based upon the artistic quality of the design and the way(s) in which it symbolizes the Solar Physics Division. Entrants are encouraged to include with their entries a brief explanation of how the design of the logo being submitted reflects the Solar Physics Division. The logo should be suitable for adaptation to a variety of formats, such as the Solar Physics Division's printed materials, its Web site, etc. It should maintain its appearance well in different sizes. The original logo can be black and white, greyscale, or in color, but it must reproduce well in black and white as a letterhead on 8.5"x11" official stationery. The logo may incorporate the name "Solar Physics Division" or the initials "SPD," or it may be a symbol or emblem to be used without the name or initials.

  7. Format of Entries. Each entry should contain the design of the logo, including any suggested associated lettering. Each entry must contain the full name and address of the Entrant. In addition, the Entrant is encouraged to include his or her telephone number, an e-mail address and a fax number, if available. Entries may be submitted in any language, although the SPD would appreciate receiving a translation of any logo text or accompanying explanation in English, where possible.

  8. Submission of Entries. All entries should be sent by e-mail to the SPD at logo@spd.aas.org. The Solar Physics Division will not accept entries by mail. Files should be GIF, JPEG, or PNG format. The file should not exceed 1.5 MB. The SPD does not assume any responsibility for any computer, telephone, cable, network, satellite, electronic or Internet hardware or software malfunctions, failures, connections, availability or garbled transmissions, or for any service provider or Internet accessibility or availability, traffic congestion or unauthorized human intervention.

  9. Entry Materials Become Property of SPD. The Solar Physics Division of the American Astronomical Society (SPD) will not be able to return submitted materials. Therefore an Entrant who submits any electronic materials to the SPD in connection with the Competition shall agree, by the act of submitting such materials, that all such materials shall become the property of the SPD, and the SPD may delete, destroy or otherwise dispose of such materials without any obligation whatever to any Entrant to return such materials following the Competition.

  10. Competition Deadline. Review of entries will be on January 1, 2003 . All entries received by the SPD before January 1, 2003 will be reviewed simultaneously. Submissions made after this date will be accepted until a winner is selected.

  11. Right to Reject Entries. The Solar Physics Division reserves the right to reject any entry for any reason and, in case of such rejection, is not required to disclose the reason(s) therefore. In the event that none of the entries is determined by the SPD to be satisfactory, there may be no winner of the Competition. If there is no such winner, it will be solely the right of the SPD to determine whether to hold another logo competition.

  12. Notification of Competition Results. Following the selection of the winner(s) and the runners-up, the names of such persons shall be posted on the the SPD Internet site, and such persons shall be notified by e-mail, telephone, overnight carrier or regular mail.

  13. Modification of the Winning Entries. The Solar Physics Division reserves the right to suggest slight modifications to the winning entry or entries to make the the final logo(s) more appropriate for the use of the SPD. These modifications will be completed in collaboration with the winner(s).

  14. Title to and Transfer of Intellectual Property Rights. All rights to all intellectual property contained in such entry, including, without limitation, the rights to register such property in the name of the Solar Physics Division or any affiliated person in any or all jurisdictions in the world, the right to alter such intellectual property and to own any intellectual property thus derived, the rights to display and make copies of or otherwise publish such intellectual property in any print, film or other media, and the right to otherwise deal in and with such intellectual property, shall be vested in the Solar Physics Division. Each Entrant, by the submission of such entry, represents and warrants that the Entrant is the creator of such intellectual property, and, to the best of the knowledge or belief of the Entrant, the Entrant is the sole owner of such intellectual property, and no other person has any rights to such intellectual property, whether registered or unregistered.

  15. Agreement to Cooperate with the SPD to Ensure Complete Transfer of Rights to Intellectual Property and to Defend the SPD's Rights Following Transfer. Each Entrant agrees, by the submission of such entry, that, should he or she become a winner or runner-up in the Competition, he or she shall take all reasonable steps to ensure that all rights described in the Paragraph 14 shall be completely transferred to the SPD, including, without limitation, the execution of such further assignments, transfers or other documents as shall be reasonably necessary to effect such transfer, and the preparation, execution and delivery of any documents, including, without limitation, factual statements regarding the origin of the intellectual property, as the SPD shall require.

  16. Disputes. Should any dispute arise between or among Entrants in the Competition regarding entries submitted by multiple users with the same e-mail account, the person whose name appears on the entry shall be deemed by SPD to be the Entrant.
